ChatGPT just got a feature that could save your team hours every week. It’s called Company Knowledge, and it lets your organization plug internal documents directly into ChatGPT so the AI actually knows your business, not just the internet. Here’s what that means in practice, who gets it, and whether it’s worth caring about.

The problem ChatGPT company knowledge solves

Here’s the thing about AI chatbots at work: they’re great at answering general questions, completely useless when you ask “what’s our refund policy for enterprise clients?” or “where do I find the Q3 marketing deck?” Your team ends up switching between ChatGPT and internal wikis all day. It defeats the purpose.

Most companies already have knowledge bases scattered across Notion, Confluence, Google Drive, or SharePoint. The information exists, but finding it is a job in itself. Studies show employees spend anywhere from 20 to 30 percent of their workday just looking for information. That’s not a small inefficiency. That’s a full day wasted every week.

Company Knowledge is OpenAI’s answer to this. Instead of toggling between ChatGPT and your internal tools, you connect your documents to ChatGPT and the AI references them directly when answering questions.

How ChatGPT company knowledge works

The setup is straightforward. If your organization uses ChatGPT Business, Enterprise, or Education, you can upload or connect your internal documents, wikis, and knowledge bases to ChatGPT. Once connected, when anyone on your team asks ChatGPT something, the AI pulls from your company’s own data alongside its general knowledge.

Think of it like giving ChatGPT an onboarding packet for your entire company. New hires can ask “what’s the process for expense reports?” and get an answer based on your actual HR docs, not a generic internet response.

The feature handles several types of content:

  • Internal wikis and documentation
  • Policy documents and handbooks
  • Project briefs and specifications
  • Frequently asked questions within your org
  • Training materials

And since it’s tied to your organization’s ChatGPT workspace, the data stays within your company’s environment. Your competitor’s ChatGPT doesn’t see your documents, and your employees only access your own company’s knowledge.

Who actually gets ChatGPT company knowledge

This one matters because not every ChatGPT user will see it. Company Knowledge is available on three plan tiers:

  • ChatGPT Business for smaller teams that want AI-powered internal knowledge
  • ChatGPT Enterprise for larger organizations with more complex data needs
  • ChatGPT Edu for schools and universities connecting course materials and academic resources

If you’re on the free plan or ChatGPT Plus, you won’t have access to this feature. It’s positioned as a workplace tool, not a consumer one. That makes sense given the kind of data involved. You don’t want random users connecting their personal documents to a shared AI.

What this means for your daily workflow

The practical impact depends on how your team currently works, but here are the scenarios where ChatGPT company knowledge genuinely saves time:

Onboarding new employees

Instead of sending new hires a folder with 40 documents and hoping they read them, they can ask ChatGPT questions as they come up. “How do I submit a PTO request?” “What’s the code review process?” “Where do we store client contracts?” The AI pulls from your actual docs and gives answers based on your real policies.

Answering repetitive internal questions

Every team has those questions that come up weekly. “What’s our vacation policy?” “How does the commission structure work?” “What’s the deadline for the quarterly report?” With company knowledge connected, anyone can get the answer from ChatGPT without pinging a manager or digging through folders.

Cross-department access to information

Marketing doesn’t always know what product engineering documented last quarter. Sales might not have seen the latest pricing update in finance’s drive. ChatGPT company knowledge breaks down those silos because it can access all connected documents regardless of which team owns them.

How it compares to what’s already out there

OpenAI isn’t the first company to offer AI-powered internal knowledge. Microsoft Copilot integrates with SharePoint and Microsoft 365 docs. Google’s Gemini for Workspace connects to Google Drive. Notion AI lets you search across your workspace with AI.

What’s different about ChatGPT company knowledge is the AI model itself. GPT models are generally considered more capable at complex reasoning than Gemini or Copilot’s models, especially for nuanced questions. If your team already uses ChatGPT for work, adding company knowledge means you don’t need to switch to a separate tool for internal queries.

The downside is that ChatGPT company knowledge only works within ChatGPT’s ecosystem. If your documents live in Microsoft 365 and your team lives in Teams, Copilot might be the more natural fit. Same goes for Google Workspace users and Gemini. ChatGPT company knowledge makes the most sense if your organization has already adopted ChatGPT as its primary AI assistant.

What you should do now

If your company pays for ChatGPT Business or Enterprise, check whether Company Knowledge is available in your admin settings. The feature rolled out in August 2026, so it may still be rolling out to some accounts. Connect your most-used internal docs first. The ones that get the most questions are the ones that’ll deliver the biggest time savings.

Start with HR policies, onboarding docs, and frequently referenced processes. You can always add more content later, but those three categories alone will cut down on repetitive questions immediately.

If you’re on ChatGPT Plus and don’t have access, this feature alone might be worth making the case to your manager for upgrading to a Business plan. The time saved searching for internal docs often justifies the cost within the first month.
